Purpose Statement:

 

The candidate will be responsible and accountable for carrying out a wide range of activities, primarily those associated with Document Processing and Control for the Bruce Retube Project.  Shift work will be a requirement of this position, including evenings and weekends.

 

This position will be located in our Douglas Point offices and will report to the Performance Reporting Supervisor  in the Project Controls  department.

 

Duties:

 

·         Administer all aspects of the Document Control functions through established work processes for paper and electronic document management to meet the short and long term objectives of the branch.

·         Production and maintenance of documentation  - receive, process and control deliverable and non-deliverable documentation using TRAK system.

·         Using TRAK system - process, print and distribute documentation received from AECL, client, site and suppliers.

·         Monitor and update document baseline.

·         Interface with internal and external service providers (i.e. commercial print companies) in order to meet project schedules.

·         Coordinate all aspects of formal documentation shipments to site and suppliers, including tracing of shipments with SP Courier Services.

·         Ensure the established documentation work processes are implemented, followed and maintained, including quality assurance checks to demonstrate conformance, thereby ensuring that accurate records are kept and maintained for proper audit trails.

·         Ensure the timely and accurate processing and recording of deliverables per project contractual obligations, in order to meet schedules and avoid monetary penalties/delayed placement of orders/inaccurate information.

·         Generate statistic and ad-hoc reports; conduct system queries on status of documents.

·         Assist Engineering and Project Control staff regarding documentation processes and queries.

·         Communicate effectively, on a daily basis, with various Quality Assurance, engineering, project control and project management staff, as well as service providers to achieve the project requirements, and to develop accurate processes.

Qualifications:

 

·         College graduation in Business Administration, or a Technical subject from a college with generally about 3 years work experience or equivalent in experience resulting in a sound knowledge of business principles

·         Knowledge and proficiency in the Document Management TRAK systems and Tool Management System (TMS).

·         Knowledge and proficiency with other nuclear document management systems (i.e. Passport, Curator) will be beneficial for learning the AECL TRAK system.

·         Knowledge and proficiency in Microsoft Office Programs, Adobe Acrobat and File Transfer Protocol.

·         Knowledge of the Information Management System.

·         Knowledge of AECL procedures, policies and practices.

·         Good understanding of engineering and procurement documentation.

·         Good organizational skills with accurate attention to detail and the ability to establish priorities and work under pressure to meet schedules.

·         Good understanding of company and project requirements, and able to offer practical suggestions for Document Control involvement.

·         Self-starter, requiring minimum guidance.  Uses initiative to identify, investigate and solve problems.

·         Good understanding of the document security requirements through the document process stages including restrictions and export permits.
