Duties

 

 

The Project Assistant (PA) provides project control and administrative support to contracts or projects for the WL Maintenance & Work Management (M&WM) Branch. 

  •  

    • Under the general supervision of the Project Engineer / Professional, the Project Assistant will update and track schedule, budget, cost and progress through Project Management systems (e.g., Primavera, Excel, Oracle Financial Management System).
    • Collect, prepare and analyze information from Project Management systems for monthly and quarterly reports to stakeholders such as the Liability Management Unit (LMU). Review and analyze project expenditures and delivery, identify variances and recommend corrective actions.
    • Work with the Project Engineer / Professional, prepare Scope Change Control documentation, ensuring approvals are obtained and form is distributed to the appropriate individuals. Obtain agreement from Suppliers to ensure necessary resources are available. Update Project Schedule.
    • Develop and maintain electronic and hardcopy files containing project schedules, budgets, deliverables and resource forecasts. Assist with the preparation of intra-company work requests, contract administration and Requests for Authorization.

     

    Qualifications

     

    • Secondary school graduation, plus one or two year business diploma, and a minimum 2-4 years administrative, project or office management experience, or an equivalent combination of education and experience.
    • Strong knowledge of computer-based applications for contract, resource and project management, as well as MS Office Suite programs, particularly MS Excel, or equivalent software. Able to readily import/export, sort and format data, create charts, link cells, and use formulas and functions.
    • The PA has a general understanding of project management processes and, through education and/or experience, has gained a solid understanding of the subjects of planning, accounting and reporting.
    • Excellent interpersonal, written and oral communication skills are essential.
    • Must be responsible, well-organized, and reliable individual, who is highly motivated, and possesses a professional attitude. Demonstrated ability to use initiative and apply judgment in an environment of changing and often conflicting priorities.
    • Must embrace the ever-changing work environment and proactively make recommendations to change, be willing to help others to accept and understand change, share their skills and proactively learn new skills.
    • S/he must be willing to upgrade skills to meet the job requirements and must be very comfortable working as a team member in a fast-paced and dynamic environment. The PA must be committed to achieving and contributing to the Division's deliverables to realize team and deliverable success.
