Project Assistant (PA) provides experienced project control and administrative support to projects led by PHAI-MO. The PA provides support to the Project Director (PD), the Project Control Coordinator (PCC), and other members of the Project Team. The PA reports functionally to the Manager, Planning, Control & Operations.
· The PA works with some supervision or following prescribed procedures, checklists, and guidelines. Work is reviewed for accuracy, adequacy, and conformance to prescribed procedures and practices.
· The PA has the following responsibilities:
· Extracting relevant financial data from Oracle.
· Extracting relevant schedule, budget, and resource demand information from Primavera.
· Verifying the legitimacy of charges, identifying variances, and recommending corrective actions.
· Preparing and updating financial spreadsheets
· Obtaining schedule update information from service providers.
· Updating the schedules with actual progress and costs.
· Creating a schedule based on general project information.
· Creating, monitoring, and closing-out iReqs.
· Preparing documents for distribution and filing.
· Maintaining the project files in the shared area.
· Making sure all of the relevant project information is correctly filed in TRAK.
· Sending relevant documents for filing in TRAK on a weekly basis.
· Preparing documentation for change requests, and maintaining the change reconciliation log.
· Providing support for the preparation of RFAs, RRPRs, and/or IWRAs.
· Preparing financial table, graphs, and logs on the Monthly Project Report.
· Opening and closing project work orders.
· Preparing and posting financial accruals.
Qualifications
· Formal Project Management training would be an asset.
· The PA has an understanding of the phases of a project life cycle.
· Has overall understanding of project management processes, especially those related to cost, budgeting, schedule, scope, change control, and earned value. Has gained a solid understanding of the subjects of planning, accounting (including accruals), and reporting.
· The PA has a working knowledge of the computer-based applications used for project management purposes (i.e., spreadsheets, databases, and specialized scheduling software).
· Proven ability to conduct variance analysis on labour, time, dollars, and schedule performance.
· The PA has a basic understanding of the methods and resources used by functions engaged to perform project activities; e.g., engineering, licensing, quality assurance, procurement, manufacturing, etc., as well as the deliverables typically produced.
· General awareness of engineering, manufacturing, and operational activities.
· Some awareness of nuclear codes and standards.
· Strong knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
· Working knowledge of AECL; methods and processes of Procurement, Finance, AECL financial systems, and TRAK.
