Duties:
· Working with others, the Facility Coordinator, is responsible for ensuring the tenant (AECL CANDU Services, Decommissioning and Re-tube) project teams receives the appropriate facilities services that enable them to conduct their work on the Bruce Re-tube project. This includes:
· Being the first point of contact for heating, air conditioning and ventilation issues raised by members of the AECL Bruce Project team.
· Developing process tools that will allow for consistency and control with respect to facility coordination; e.g. needs analysis checklist regarding space allocation, project checklists of required information and contacts etc.
· Meeting with the various AECL Project teams on the Bruce Re-tube Project to define their space requirements, including the intended use of the space, the equipment/machinery that will be contained in the space, square footage, timing, number of occupants/workstations, computer technology and support requirements, telephone/voice mail requirements etc.
· Liaising with the Facilities Planner at SP for advice, support and coaching on space design requirements and on the existing processes in place for scheduling/coordinating work of this nature.
· Liaising with the Help Desk/Desktop Support Team regarding AECL standards for IT hardware and software configuration, for support on installation and service and for telecommunications set-up for the Bruce Project Re-tube team.
· Developing project work-plans which layout the steps for each configuration project, coordinating with Bruce Power and various Project Team members and contractors to ascertain building safety requirements to isolate systems, e.g. light and power and HVAC.
· Liaising with project control professionals, contractors, safety professionals, procurement staff, permitry, quality assurance and others for cost estimates, to procure any needed materials on required work, and to ensure that any facility re-configuration work is undertaken in accordance with all safety and building code requirements.
· Overseeing various facility re-configuration projects, monitoring/auditing schedule compliance and communicating project status with various levels of AECL staff and management, in support of timely completion of workspace and maintenance of schedule.
· Following up with contractors, with external suppliers of services and other AECL staff to ensure that they meet project expectations.
· Liaising effectively with the customer regarding progress of various facilities’ work being undertaken.
· Maintaining work request database and master schedule. Producing reports as required on workload and schedule compliance. Advising tenants (e.g. CANDU Services, Decommissioning and Re-tube project teams) of facilities re-configuration schedule, communicating any information requests or requests on status, following up on satisfaction, minor problems and complaints after job completion.
· Drafting communications related to facilities services and service improvements.
· Maintaining facility occupancy data integrity including occupancy, use and contact information. Maintaining and providing accurate facility information on all AECL Bruce Site owned and leased space.
· Assisting with the renewal of leases, drawing on support from SP Facilities and procurement as well retainer contracts with 3rd parties.
Qualifications:
· Two-year Community College Diploma in Property Administration and 2-4 years of experience coordinating space allocation projects, lease agreements, contracts, and administrative duties in support of project-related facilities services OR equivalent property administration space coordination experience.
· Must be committed to quality work and professional standards and dedicated to the successful completion of all customer requirements. Using the collaborative approach, has the ability to function effectively in a work environment that is heavily customer oriented.
· Must be capable of effectively dealing with conflicts, managing complaints and dealing with demands from multiple stakeholders.
· Must demonstrate “Safety First” attitude and ensure activities are conducted with safety foremost in mind.
· Strong organizational skills for managing multiple, tasks and schedules simultaneously.
· Initiative is required to develop facilities administration processes that are aligned with and consistent the other facilities groups at AECL in SP and Chalk River.
· Good working knowledge of MS Office Products, Access and Excel databases, and office equipment is required.
